Google Calendar Appointment Schedules or Calendly for Client Bookings?

Google Calendar can replace Calendly for a business that needs an appointment page and can meet its requirements with Google’s available features. You can also keep Google Calendar and use Calendly as the customer-facing scheduler. Choosing Calendly does not mean moving your everyday diary.

Begin with the appointments you want customers to book and the calendars that already contain your commitments. A solo project consultation is a different problem from finding a time when two colleagues can both attend. Once those requirements are clear, compare the exact account features needed to deliver them.

Separate the booking page from the diary

The booking page is what a customer sees when choosing a time. The diary is where you record the work you have agreed to do. With Google appointment schedules, those functions sit within Google Calendar. With Calendly connected to Google, Calendly presents the choices and creates the booking in the selected Google calendar.

Consider an illustrative sole trader who uses Google Calendar for client visits and offers introductory calls on two afternoons. Either arrangement may suit. The important requirement is that a visit already in the diary removes that time from the customer’s choices, and a new call appears where the owner will see it.

There is little benefit in replacing a working arrangement solely to make the booking screen look different. Change when a missing feature or administration problem gives you a clear reason.

Check the account limits against your actual appointments

Use Google’s appointment feature chart and Calendly’s current plan comparison together. Write down the feature you need beside the account that includes it. An existing business subscription may cover the job; equally, the required feature may be missing from the tier you hold.

For a team, decide whether the customer needs one available adviser or everyone named in the appointment. Calendly documents those as distinct multi-person event arrangements. Do not choose from a generic “team booking” label without checking which people must actually be free.

Make sure every relevant commitment blocks availability

List the places where you already record work: the main business calendar, another work diary, shared commitments and any personal diary containing time you cannot offer. Connect or include only what the chosen system needs, using the access supported by the provider.

Google’s availability guidance explains how checked calendars and Busy events affect the booking page. Secondary-calendar checks require an eligible plan. A calendar containing an important commitment cannot protect the time if it is excluded from the availability check.

In Calendly, inspect two separate settings: calendars checked for conflicts and the calendar receiving new bookings. Its calendar connection guide explains both. Choosing the correct destination for new appointments does not establish that every other diary is being checked.

Use your own details for a controlled rehearsal before opening the route to customers. Put a Busy commitment inside an otherwise bookable period, then view the customer page while signed out. Try a legitimate open period too. If the page hides all times, check working hours, booking notice and buffers rather than assuming the connection failed.

Decide where staff will make changes

A receptionist or owner needs a clear instruction for moving a booking. Calendly’s Google connection settings include optional cancellation and rescheduling synchronisation. Inspect whether that option is enabled before treating an edit in Google Calendar as a customer-facing change.

The customer’s calendar is another copy again. A person deleting an entry from their own diary is not the same as using the booking system’s cancellation route. Give customers the supported change link and tell staff which application to use.

During the rehearsal, move the appointment and inspect the customer’s updated message as well as the business diary. Check which slot becomes available, whether the old meeting details remain anywhere misleading and whether the host can identify the current booking. Our changeover guide covers existing appointments when replacing the system itself.

Choose the website presentation after the workflow works

A clear button to a hosted booking page can be sufficient. Google supports sharing and embedding its appointment page; Calendly offers inline and pop-up embed options. Test the exact presentation on your site, including the date choices, required fields and final confirmation.

Keep the purpose and location of the appointment beside the action. A visitor should know whether they are booking a video discussion, an in-person consultation or submitting a request for approval. Include another contact route for someone who cannot find a suitable time.

The video consultation planning guide explains the description, preparation and joining information around a remote appointment. It is worth settling those details before spending time styling a calendar.

When I would choose each arrangement

Start with Google appointment schedules when you already run a Google diary, offer a defined consultation and the account covers your booking requirements. It keeps the booking administration close to the calendar you already manage.

Consider Calendly connected to Google when its meeting formats or scheduling workflow solve a specific need. Record the extra account owner and check the required plan, host access and calendar connections before building around it.

Broaden the shortlist when the job is really staff-service allocation, room capacity or a specialist treatment process. Our booking-system selection guide includes Microsoft Shared Bookings and the point at which a specialist platform needs investigation.

If you need help making the chosen route work within a Formby or Freshfield business website, send Formby Web Design your appointment requirements and the calendar you currently use. Keep passwords and private customer records out of the initial enquiry.
